| | I would like a third folder. Prospect/Borrower&CLOSED Is there anyway to add one at the office or does anyone have an idea how to "bundle" loans that have closed? |

| You're missing the difference between Point file types and Point Data folders. A prospect file gives access to the Marketing menu, so it should be used during the "sales" process. A borrower file gives access to processing related menu items, so it should be used in the "processing" process.
You can create Point Data folders for the various stages of the loan process. So I have the loan officers working on prospect files out of a "Sales" folder, the processors work on borrower files out of a "Processing" folder, and closed borrower files are moved to a "Closed" folder.
Inside each Point Data folder you'll find the prospect and borrower subfolders. A subfolder may be empty depending on the data folder. So in the "Closed" Point Data folder, the Prospect subfolder is empty.

| As Paul mentioned, you can set up folders for various stages of work. When a loan is closed, you can move it (make sure you use the move function within Point) to a different folder. You can "bundle" loans with certain characteristics but it takes some programming.

| It may also be handy to create separate folders for cancelled or denied files. If you want to keep long term history broken out by year, setup a different folder for loans closed each year (i.e. 2003 Closed, 2004 Closed, 2005 Closed, etc). You can also use that to protect those files by changing security to read only when the year passes, while users only have read write access to the current year's folder(s), or archive those folders to CD, DVD, or tape.

One way could be if a Point user chooses "Save As..." and saves a prospect file in the "BORROWER" directory instead of the "PROSPECT" directory. Point 5.1 has a new dialog when saving loan files that should minimize such mistakes (since the user doesn't look at the file system by default). See the attached screenshot for an example (if the user chooses "Browse Other Location..." he/she can still save a loan file anywhere in the filesystem).
