Files disapearing...

Running PDS 6.1, Point 6.0

We are having files randomly disappear. There is no rhyme/reason that we can see to which ones go away, but it's happened to about 10 files as of yesterday to 7 different branches/data folders. Have you heard of this ever happening?

Interviewer signature date is being altered?

Since installing Point 6.1a, any time we open a file that hasn't been opened and edited since the upgrade, Calyx is changing the Interviewer Signature Date field to a weird date (which by the way seems to change every day).

For example, a new file that is opened today has a date in the Interviewer Signature Date of 8/23/04. Yesterday the date that showed up was 12/18/03. Weird.

This also occurs if I open an existing file that hasn't been opened and edited with Point 6.1a (i.e. an old closed file). The Interviewer Signature Date field also gets automatically altered to this new weird date.

The Knowledge Base just tells me to go to pg 4 of the URLA or the FNMA Addendum and change the date. Duh.

Why is Point altering this field and how can I stop it?

File cannot be deleted

I have this file in point that I cannot delete or move to another folder. It keeps saying that someone is in the file, however, I have closed down all of the Point computers but mine and I am still getting this "Cannot Delete" message. Anyone have any idea how I can get rid of this?

File Security!

Hi,

I've been a point user for many years. One of the major issues I have is being able to control users access of borrower files. We have all our files on one server running windows server 2003. The file permissions within point are good for controlling the useage of novice computer users -- it will stop them from viewing or deleting other loan officer files within point. However, a user with a bit more knowledge can just browse to the point server directory from their desktop and then copy the entire folder. They can then install a point disk on their home computer and voila.....they can view the entire companies closed and active loan files!!!! This is a big security loophole. I'd like to be able to solve this without upgrading to point data server or encompass.

The permissions in windows server 2003 are very detailed, I was able to set those so that a loan officer could not delete any point borrower files even from their own desktop. However, I have not found a way to stop them from copying the entire directory of closed files (we have them organized by year). Of course I could set up seperate closed directories by year AND loan officer but this is a huge undertaking (especially for previous closed years). Loan officers need to be able to quickly look at their closed files within point when clients call in, but I need to try and plug the security risk of them being able to copy all files!

LOs and Processors and file access

I've got a question. I have LOs and processors. When a loan is sumbitted to processing, the Point file is moved to the "Processing" folder. When a file is in this folder, the LOs now has Read Only capabilities, which is what we want. We want the processor to be able to open, make changes, and save. This works fine is most cases. It doesn't work when the LO opens the file (as Read Only), and doesn't close it before the processor opens it. When that happens, the process can only open it as Read Only as well. It has something to do with the backup file that's created during opening. LOs have been instructed to close files, but don't always remember, and walk away from their desk, or go to lunch, etc. and the processor can't make any changes to the file. By the way, the files are on a network. Any ideas are appriciated.

Moving Linked Files

I can not find a way to move linked 1st and 2nd files from Prospect to Borrower without breaking the link. I always end up having to re-link them.

Is there a way to do this?

Loan Officers able to Overwrite other loan officers' files

I just found out that loan officers are able to overwrite another loan officer's file with the same name. When a loan officer creates a new file and there is a duplicate filename, Point notifies the loan officer that there is a duplicate filename and if he/she would like to overwrite it. If he/she clicks yes, that other loan officer's file is overwritten by the new file!! Is there anyway to prevent this? Loan officers who do not have permission to access another loan officer's file shouldn't be able to overwrite their files.

Digital Document Storage Solution

We are running out of room at our location to store our closed loan files and are looking for a solution to this problem. Arizona state banking expect us to keep something like 7 years worth.

I'm woundering if somebody has put together a solution that involves a high speed digital scanner to store the files on hard disk. Can they then be attached to the point file for easy access? Does anyone know of a solution provider who does this?

Duplicate Mers number

Auto filename when moving files grayed out

Auto filename when moving files. How can I set up my folders to when I move a file to that folder I have the option to auto filename. I have created a number folders such as mortgage closings, denied loans, processing loans, etc. The problem is when I try to move a loan to some of the folders the auto bilename radio button is grayed out while on some folders I can choose this option. Has anyone had this problem? And if so is it a result of how the folders are created? I'm the adminstrator and have all rights to point and computer files.

Loan Status Dates in Track:General

If 2 dates are identical in Track:General - the loan status seems to pull the first label. For example if Approved date is 9/15/07 and the Clear to Close Date if 9/15/07 - the loan status will read Approved. Any way around this?

Importing corrected field values to existing point files

Ok, let me try to explain myself. I am running Point 6.0 and I have created a report with specific fields from my closed loans in caylx. I have that report in Excel format (I can change the format if it matters) In comparing the field values to the paper files I found some inconistencies such as closed date was off by a few days or the loan program says 30 yr Fixed and it really closed as a 15 yr...ect.

I don't want to have to open each point file to correct the fields so......

I went throught the excel spreadsheet and corrected the errors. Now what I want to do is find some way to overwrite that information back to those files updateing the fields with the correct info. I was told that this cannot be done but I am asking in case it can be accomplished through a third party software or something. I have backed up my files so I am willing to try anything that might work.

Loss Of File Name

My company uses the auto file name feature. We do this for several reasons, but a primary reason is to track number of loan applications each month.

Unfortunately, if a loan officer simply goes to start a new file, it uses up one of the numbers in sequence. Is there a way to either make the file save as soon as it is opened, or is there a way to track when a file number is used?

Users seeing incorrect files in their Point folders

Yesterday several of our 50+ Point users appeared to be in the wrong Point folders, and not Point folders that were located (they're in alphabetical order) next to one another. For example, the files "Jane" was seeing were actually "Ron's" files. What added to the strangeness is that if the user exited from the folder they were in, they were unable to get in again / see the wrong files.

Our Point (non-PDS) has been configured with individual folders for each of our loan officers, and each of these folders has only a few people who can access them.

What happened yesterday was that it seemed that as if the Point folder security didn't kick in until after the users were in the folders. Or perhaps the users were entering the right folders, but the contents from other folders was appearing instead.

Has anyone ever seen this / have any ideas about what the issue might be?

Error on Delete

Error: Your are not allowed to access the file, or the file is in use.

The user does not have the file open, user has shut down Point and restarted. The only folder available to the user is the Point Data Folder, she does not have any other folders set up. She is the only user set up on the PC. What could be causing this issue?

Piggyback 1st & 2nd and Good Faith Estimates

We have been using the new feature in Calyx 5.4 where you can link the 1st & 2nd mortgage. It works OK but we been having multiple problems with getting the Good faith estimates of both to coordinate. Instead of using the total closing costs on the 1st mortgage good faith, the net cash from borrower is used in the linked 2nd mortgage as the closing costs. So in one file the 2nd mortgage file was showing -4,000 for the closing costs on the 1st because of how it linked. Not sure what to do about this because even if I change it manually and save it, it will still revert back to the old figures and mess up page 4 of the 1003. This may be a programming error that needs to be addressed in the next update. Otherwise if there is a fix let me know.

Cannot open newly created file via Subordinate Financing

My company is running Calyx 5.4a and here is the situation which my users are running into;

- User opens Calyx file.

- From Subordinate Financing they then create a second Mortgage file.

- While they have the original file open, they are unable to open the newly created file (it gives them the 'The file XXXXX is being used by someone else. Do you want to open the file as READ-ONLY mode?'.

If my user closes the original file, the newly created one opens up without any issues. But they normally don't manually close each file they have open, they just open the next file they want to work on (this has worked without any errors/issues in the past). I know both files are loosely connected, but my end user and I would like to know why this is happening. Any Ideas?

Can't search data folders

After about 5-10 mins I can not search my borrower folders. If I close down point and open it back up it works fine again. Then 5-10 mins later I can't search anymore.

Deny Access to BORROWER folder

We have a shared drive that has PNTDATA but I'd like to not let everyone access BORROWER. We do not have User Ids set up and they'd like to keep it like that if possible.

No Data Found after copy

The company I work for recently upgraded from Point 5.3a to 5.4a. One of my users complained of the following;

Within the borrower area of her data folder, she selects a file and clicks 'copy' to make a copy of the file. After she makes a copy of the file into her prospect area, she clicks 'search' to view all the files in her folder. She sees nothing and gets the 'No Data Found' message.

I wasn't able to recreate this with a new account I created for myself, so I just ended up deleting her Point account and created her a new one.

Before I go ahead and alert all of my employees or create new accounts for everyone, is this a bug or a known issue for Calyx Point?

Rebuild List?

Good evening,

I have a customer who uses Point 5.4a.

They are running into an issue where old employees are still showing up on Reports for loans. These employees shouldn't still be in point.

Will rebuilding the list for the Prospect or Borrower or both help out with the maintenance?

How often should this be done? Once a month?

Monitor changes of files (add, delete..) reports?

We have some people in the office that are able to move files to/from folders.

One of these folders is a "dead files" folder.

I would like to run reports if possible to see what NEW FILES have been moved (added to that folder). Is there any way to do this?

third party apps are fine if you can recomend something freeware that can monitor a folder for aditional files.

How to correctly back up files ?

What is the correct way to back up your files ... so far I backed up the borrower and prospect files to a USB flash drive .... any problems doing just this for a back up ? ... do I need to back up all of the support files in the top level "PNTDATA" folder ?

when i start my computer and try to open Point i get the error " folder data is not accessible at this time" so i followed directions on how to look for the parameter in the folder.ini, it needs to be set to 1. mine is already on one. so i go ahead an change it to zero and save, re-open the folder and put 1 again and save, now i can open my Point Program, but the issue here is that when i restart i have to repeat the same steps. IS THERE A WAY I CAN SAVE THE CONFIGURATION SETTINGS OR SOMETHING ELSE I CAN DO. PLEASE HELP. THANK YOU

Moving Files from one computer to another

This problem is on computers running Calyx 5.3

Files were copied from the Borrower folder on PC1.

A new folder was created on PC2: C:\PNTDATA\MAXFILES and the files from PC1 were copied to the MAXFILES directory.

Using the Admin feature, MAXFILES was created as a valid directory.

Problems:
1. From the Calyx application when I attempt to open files in MAXFILES, nothing is seen.
2. Re-indexing MAXFILES does not help.

BUT ...
1. I can do File ... Open and manually open a .brw file.
2. If I copy a .brw file to the standard BORROWER folder and open it manually,
if shows up in the list of files thereafter.

Is there a way to add a custom Search Option in the interface

I have a user that wants to move several files from one PDS folder to another. The issue is the original folder had files from several states and they just want to move files from 2 specific states. Is there a way to add a search by state option if only for one user to preform this move? By default all the regular search options are in place.

Annual data folders

I've been with the IT department in the company I'm now working for for just over three months. We do our data folders generally by location+year ("Chicago2005" for example). I don't really know how this was done in the past, as no documentation has been left. I get the impression that I could just use Point Administrator on our primary file server, but how does that new information get copied down to all of the clients, and will that work for laptop users, or am I looking at copying an updated winpoint.ini file manually everywhere? We are running Point 5.3, files are being stored on a Windows 2000 server, accessed by Windows 2000 and XP clients, and we don't have PDS....

Basically what I'd need to do is create a "Chicago2006" and move all borrower and prospect information from 2006 into that folder (no problem with borrowers, they'll all have '06' in the file name - prospects might be a little trickier to figure out), leaving the "Primary Data Folder" alone, with 2007 files in it. I'll also want all of our staff using point (Loan Officers, closers, processors, etc) to gain access to "Chicago2006" automatically, if there's any information from November/December they need to finish working on. Is this doable, can this be done across the network, or should I just bite the bullet and be prepared to copy/edit everyone's winpoint.ini file? Thanks in advance for suggestions and advice.
